What does AI implementation involve for a small business?
For most businesses your size, it comes down to three things:
- The right AI tools, set up properly for the whole team, with business accounts and safety settings.
- A few automations that take repetitive work off people’s plates.
- A team that knows how to use it, so the tools actually get used.
Most AI rollouts stall because the owner is expected to do all three alone. The AI Launch does them for you.
What’s included in the AI Launch?
1. Team AI tools, set up safely
We choose and set up the right AI assistant for your team, such as ChatGPT (business plans), Claude (team plans) or Microsoft Copilot, based on the tools you already use.
- Business-grade accounts, not personal logins
- Access controls and reviewed data settings
- A one-page “how we use AI here” policy
- Starter prompts for your most common tasks
2. Your first automations, built and live
Chosen from your AI Game Plan. Examples: instant lead follow-up, inbox sorting, invoice processing, client onboarding or a weekly report.
3. A live training session
A remote session for your team, using your real work as examples. Recorded for future hires.
4. A plain-English handover guide
What everything does, where it lives and who to call.
5. 30 days of post-launch support
We fix anything that breaks and tune what needs tuning.
AI tool subscriptions and other third-party software are billed by the provider directly to you, so you own the accounts. We estimate those costs before you commit.
What does the 30-day timeline look like?
| Week | What happens | Your time |
|---|---|---|
| Week 1: Kickoff | A 45-minute kickoff. We confirm the automations and get the access we need. | About 1 hour |
| Week 2: Set up | Team AI tools, safety settings and the AI use policy. | None |
| Week 3: Build | We build and test the automations. You review a short demo. | About 30 minutes |
| Week 4: Launch and train | Automations go live. Team training. Handover guide delivered. | About 90 minutes |
Your total time: about 3 hours across the month. The 30 days is our goal. The date depends mostly on how quickly we get access to your systems in week one.
Which AI tool is right for your team?
- ChatGPT (business plans): a strong all-rounder, and a good fit if your team is already familiar with it.
- Claude (team plans): strong at writing and long documents, and a good fit for proposal- and document-heavy teams.
- Microsoft Copilot: works inside Microsoft 365, and the natural fit if your business runs on Outlook, Word, Excel and Teams.
We recommend one based on how your team works, not on what’s trending. Read more in best AI tools for small business.
How do you keep our data safe?
- Business-grade AI accounts with data settings reviewed
- Least-access permissions for every automation
- Clear written rules on what data goes into which tool
- Everything documented and handed over
